Booking instructions

1. Select arrival and departure dates, number of guests, cottage type, and price.
2. Select any additional services, such as parking, unless these services are already included in the price referred to in point 1.
3. Check the details of the reservation, the total amount and the detailed conditions (cottage, price and/or additional services). Then enter detailed information about the guests.
4. Please read the general terms of sale, terms of use and privacy policy carefully, and then confirm your reservation.
5. Holiday Cottages confirm acceptance of the reservation by immediately sending an e-mail with a summary of the type of reservation made, additional services booked, reservation dates, price, total amount and specification of its components, terms of sale related to the selected price (accepted by the customer), information regarding customer service and address of Holiday Cottages, to which the customer can submit any possible complaints.

Cottage reservations

The reservation will be fully guaranteed upon payment of 40% of the reservation value, by credit/debit card/transfer. The deposit of 40% of the cost is non-refundable if the guest cancels the reservation within less than 60 days of arrival. In case of cancellation within 60-90 days before arrival, the deposit is non-refundable, but it is possible to count the deposit towards the stay at another date. In case of cancellation 90 days before the date, the full amount will be refunded. The remaining payment for the stay is collected on arrival.

A local fee will be added to the cost of your stay, the amount of which is determined by the Municipality of Trzebiatów. Payment to the municipality will be collected in cash on arrival.

Special offers

Special offers, available only on the official website https://roko-resorts.pl/, do not combine with other discounts and cannot be canceled, refunded, or changed (this applies to both cottages and any additional services). Since these are non-refundable reservations, 100% of the total amount of the reservation is charged at the time of booking, unless otherwise specifically stated in the terms and conditions of the offer, and this amount is non-refundable (this applies to both the cottages and any additional services). In the event of a customer’s failure to show up on the scheduled arrival date, including when Holiday Cottages are notified in advance, the reservation will be canceled in full, and Holiday Cottages reserve the right to charge the customer the total amount of the reservation to cover the cancellation costs and losses incurred.

Pricing and invoicing

Prices are displayed before and during the process of booking cottages. They apply to a single bungalow, a certain number of people, the type of room and the indicated date. The prices confirmed to the client include all taxes (except for the tourist tax) and are valid only for the time frame listed on the website. Unless otherwise indicated, prices do not include any additional services (breakfast, parking, pet stay, etc.).
Prices are in Polish zloty (PLN) and include VAT at the rate in effect on the day of booking. Any changes in the VAT rate will be automatically taken into account and added to the price indicated on the invoice for the stay (arrival date). Any changes or introduction of new laws or regulations by the relevant authorities will be automatically taken into account and added to the price indicated on the invoice for the stay (date of arrival). Upon arrival at Holiday Cottages, you can request an invoice detailing all costs of your stay.

Extension of stay

For information on the availability of the cottages, please contact the Holiday Cottages reception before 9:00 am. In case of availability of cottages, the appropriate fee must be paid immediately to extend the stay.

Shortening the stay

If the stay is shortened, the customer will not be refunded.

No-show of a guest

For non-refundable reservations, 100% of the total amount of the reservation will be charged at the time of booking, unless otherwise expressly stated in the terms and conditions of the offer, and the amount of the reservation is not refundable under any circumstances (this applies to both the cottages and any additional services). In the event of a customer’s failure to show up on the scheduled arrival date, including when Holiday Cottages are notified in advance, the reservation will be canceled in full, and Holiday Cottages reserve the right to charge the customer the total amount of the reservation to cover the cancellation costs and losses incurred.

Animals

This service is subject to an additional fee. The owner of the animal is directly responsible for any damage or inconvenience caused by the animal to the detriment of the hotel, third parties, employees or other guests of the motel. The client may be charged for any damage caused by the animal during the stay.

Complaints and claims

Any suggestions, complaints or disputes regarding the services provided at any of our facilities should be addressed directly to the Holiday Cottages where you are staying or to the following email address pogorzelica@roko.com.pl.

Dispute resolution

The court having jurisdiction to hear actions of Holiday Cottages against Customer-Consumers and actions of Customer-Consumers against Holiday Cottages shall be the court having jurisdiction over the registered office of Roko RiR Kowalscy sp. jawna, 72-003 Dobra.

Staying in Holiday Cottages

Unless expressly stated otherwise, the use of the reserved cottage is from 2:00 PM on the first day of reservation until 10:00 AM on the last day of reservation. The right to use the cottage is granted only to the persons indicated on the registration card. The customer agrees and undertakes to use the cottage in a reasonable manner and in accordance with its intended use. In case of any behavior of the customer contrary to moral norms and public order, the management of Holiday Cottages will be forced to ask the customer to leave the facility without any compensation or refund (if the payment has already been made). Holiday Cottages provide free Wi-Fi access. Customers agree not to use IT resources to reproduce, present, deliver, or make available to the public any property protected by copyright or similar rights without the permission of the owners or in violation of their rights.

Overbooking and force majeure

Holiday Cottages reserve the right to transfer all or part of the guests to facilities of comparable category, subject to availability of cottages, only in case of unavailability of the booked cottages (“overbooking”) for reasons attributable to Holiday Cottages. All additional costs (related to accommodation /or transportation) are borne by Holiday Cottages.

Holiday Cottages shall not be liable for any breach of its obligations due to force majeure. Force majeure events are those that are usually recognized as such in the jurisprudence of Polish courts. In such a case, Holiday Cottages reserves the right to transfer all or part of the guests to facilities of a comparable category, subject to room availability.

Privacy and personal information

The customer’s use of the Holiday Cottages website, particularly when making a reservation, involves the processing of personal data by Holiday Cottages.

Based on Art. 13 Regulation of the European Parliament and of the Council ( EU) 2016/679z dated 27.04.2016. on the protection of personal data of natural persons concerning the processing of personal data and on the free flow of such data and the repeal of Directive 95/46/we (hereinafter: RODO), we inform you that the controller of your personal data is ROKO RiR Kowalscy Sp.j. based in Dobra 72-003 ul. Szczecinska 1i, NIP 8510307598, REGON 005459571, KRS0000128634.

The Administrator has not appointed a Data Protection Officer.

Your personal data will be processed by the Data Administrator solely for the purpose of carrying out the services ordered by you / proper performance of the contract linking you with the Administrator, based on Art. 6 paragraph. 1(b/RODO, for a period of 5 years from the completion of the aforementioned agreement. In addition, the recipient of your data may be a competent public authority, based on generally applicable regulations.

Allowing ROKO to process your personal data is voluntary, but is necessary for the conclusion and performance of the contract, including the management of your bookings and stays, and for the fulfillment of legal obligations arising from the provision and settlement of services. Your personal data will also be processed on the basis of the Data Controller’s legitimate legal interest. Your personal data will be processed for the duration of your use of ROKO RiR Kowalscy Sp.j. services. and further, resulting from the law on the provision and billing of services performed. You have the right to access the personal data being processed, along with the right to rectify, erase, restrict processing, object and transfer data, as well as the right to lodge a complaint with a supervisory authority. You are also entitled to object at any time to the sharing of data by ROKO RiR Kowalscy Sp.j.

Applicable law
These General Terms and Conditions of Sale are governed by Polish law with respect to hotels located in Poland.

Changes to the General Terms of Sale
Vacation Cottages reserves the right to partially or completely change these General Terms and Conditions of Sale, without prior notice.
